- LOCATION: Aden (with frequent travel
to HALO locations)
- REPORTING TO: Finance Officer
MAIN DESCRIPTION:
The Finance Assistant plays a key role in supporting the day-to-day
financial operations of the HALO Trust programme. He/She is responsible for
processing payments, posting transactions into NetSuite, and ensuring that all
financial documentation is accurately completed, filed, and recorded in a
timely manner.
This position requires a high level of attention to detail, personal integrity,
and the ability to manage multiple financial tasks under minimal supervision.
The Finance Assistant reports directly to the Finance Officer based in Aden. As
part of the role, this position is based in Aden and requires up to 25% travel
to other HALO locations, and will serve as the primary financial focal point at
those locations.
Key Responsibilities:
- Prepare payment vouchers (PVs) and open vouchers
(OVs), collect and examine supporting documents, and ensure that documents
and signatures are valid and in accordance with procedures.
- Process bank and cash transactions in daily.
- Perform weekly cash count and update ledger as
required. Cash count to be performed along with the finance officer or any
other person as may be required.
- Responsible for organizing, Scanning, uploading
and filling all financial transactions in both soft and hard copy.
- Post daily transactions manually in HALO trust
accounting system (NetSuite)
- Prepare bank and cash reconciliations
- Prepare and update monthly payroll
- Act as the focal point for sub-offices locations.
- Management and accountability of petty cash flow
payments and replenishment
- Responsible for update prepayment, accruals,
accrued, severance and other trackers.
- Deliver clear and transparent accounting of HALO
financial transactions in accordance with the Global Finance and
Accounting Manual
- Ensure all staff are aware of and follow
purchasing and payment procedures, especially logistics and procurement
functions
- Ensure allowances and other related payments are
accurately calculated as per operational and team requirements, and that
payment systems work accurately and on time
- Conduct visits to programme bank, tax and social
security authorities as required, process payment of withholding taxes and
social security payment at month end
- Ensure disbursements are carried out in line with
financial policies and procedures according to HALO’s Global Finance and
Accounting Manual.
- Assist during the conduct of audit
compliance.
- Execute additional responsibilities during periods
of Finance Officer annual leave
- Perform any other duties as may be assigned.
REQUIREMENTS – ESSENTIAL:
- Degree in Accounting, Finance or Business
Management or related field
- At least one-year professional experience in an
international NGO
- Good spoken and written English Good
communication, interpersonal and analytical skills with meticulous
attention to detail
- Strong computer literacy, with proficiency in
Microsoft Office, especially Excel and preferably an accounting system
like NetSuite
- Ability to work effectively with a team in a
culturally diverse environment
- Commitment to HALO’s Values and Standards at all
